Respond Like a Pro: How to Use the COACH Method to Nail Your Next Call Out

02 July 2025 Guest Contributor

When a journalist publishes a call out, they’re often on deadline and scanning dozens (sometimes hundreds!!) of responses to find the right expert.

That’s why a clear, credible and engaging reply can make all the difference between being featured in the media... or being ignored. :(

The good news? You don’t need to overthink it. Our proven 'COACH Method' is designed to help you respond with confidence and stand out every time.

Here’s your step-by-step guide to using C.O.A.C.H to craft pitch-perfect responses.

What Is the COACH Method?

COACH is a simple acronym that guides you through the five essential elements of a strong reply:

  • Credentials
  • Opinion
  • Available
  • Concise
  • Human

When you include all five, you’ll demonstrate expertise, show journalists you’re easy to work with, and create a connection that sets you apart.

How to Apply COACH

C – Credentials

Start by establishing who you are and why you’re qualified to comment. This builds trust right from the first line.

Example:

"I’m a workplace psychologist with 15 years’ experience supporting teams across Australia."

Keep it short. One sentence is enough.

O – Opinion

Journalists are looking for insights and fresh perspectives, not a sales pitch. Share your professional opinion clearly and confidently.

Example:

"In my experience, workplace harassment remains underreported because employees fear their careers will suffer."

Make sure your opinion directly addresses the question in the call out.

A – Available

Journalists are often working to tight deadlines. Make it easy for them by stating exactly when and how you can be reached.

Example:

"I’m available today and tomorrow between 8am–6pm on my mobile. My mobile number is..."

If you have a mobile or direct line, include it.

C – Concise

Time-poor journalists appreciate clarity. Keep your response focused and relevant.

Aim for two or three short paragraphs that deliver all the essential information without rambling.

H – Human

Finally, don’t forget to show your personality. A warm, authentic tone helps you build rapport and makes you more memorable.

Example:

"I’m passionate about helping people feel valued at work, and I’d love to contribute to your story."

This simple touch can help your response stand out in a crowded inbox.

Quick Recap

Next time you respond to a call out, run through this checklist:

  • Credentials Have you shown who you are?
  • Opinion Have you shared your opinion?
  • Available Have you demonstrated your availability?
  • Concise Is your response clear and to the point?
  • Human Does it make you appear approachable?

When you can tick all these boxes, you’re not just responding, you’re positioning yourself as a reliable, credible, and engaging expert.
